If you are planning a corporate event, hiring an event catering service can save you hours of stress and anxiety. The majority of event catering services have years of experience in planning corporate and personal events, and can provide you with ideas and options you may not realize are available. Depending on the amount of guests, venue, and types of food and beverages served; hiring an event catering service will typically cost between $10 and $100 per person.

Although some event catering businesses have a set menu; many will work with you to create a custom menu or themed event. If you have never worked with an event catering service, you may be pleasantly surprised to discover how easy the process is. The following tips can help you know what to expect, and teach you how to cut expenses and stay under budget.

1. Event catering services do all the work. The only things you will need to do are to determine the number of guests, and choose a menu. When working with an event catering service; plan on meeting with your event coordinator four to six times prior to the event. This will allow you ample time to adjust the guest list count or alter the menu.

2. Plan ahead. For the most part, event catering services require a 3 to 6 month lead time. Some catering companies are booked a year in advance; particularly for weddings and holiday events. As soon as you know the date of your event, start making phone calls to potential caterers. It's best to obtain a minimum of three quotes.

3. The most expensive isn't necessarily the best. Oftentimes the smaller event catering companies will provide you with a better price and higher quality food. Many of the big catering companies use canned sauces or boxed cake mixes. Smaller catering companies tend to make all of their food from scratch. They are usually more flexible and will work harder to provide you with everything you require because they are working toward expanding their business.

4. Utilize the event caterer's network. Many event catering businesses have formed a network of individuals who offer complimentary services. They know disc jockeys, karaoke directors, floral designers, cake decorators, etc. Oftentimes network members provide a discount to clients who contract with the event catering service. If you are in need of additional supplies or services, ask the event catering service for referrals. Doing so just might save you a few bucks!

5. Check credentials. Before hiring any event catering service, be certain to check their credentials. At minimum, they must be certified in food handling and safety procedures. This certification is typically obtained through the local Board of Health and should be posted at the caterer's place of business. They will also require a retail (or food) sales certificate. Request a copy of their liability insurance and make certain they are covered. These days, it can be risky eating contaminated food. If anything were to go wrong, you want to make certain your guests are protected.

6. Visit the event catering service in person. It's a good idea to initially meet potential caterers in person. Take a tour of their facility and request food samples. Oftentimes, event catering services will prepare a food sampling tray for up to ten people. Never hire a caterer without tasting their food; preferably the food they will be serving at your event. Nothing can ruin an event like disgusting food. Avoid a potential catastrophe and request food samples.

7. Deposits and final payment. Typically, event catering services require a 50 percent deposit within ten days from the date you confirm your reservation. Final payment is usually due two weeks prior to the event. Most will refund your deposit if you cancel within a certain amount of time. For the most part, if you cancel less than 30 days prior, you will forfeit your entire deposit and may be charged additional fees. Always read the fine print and make certain you understand the details.

8. Secret tip. When working with event catering services, always state your budget is $500 to $1,000 less than it actually is. This will provide you with a little extra cushion in case you need to make menu changes or add additional guests. The majority of catered events always end up costing more than was originally quoted. Do yourself a favor, and never expose the full amount of your budget to the event catering service.
